Privacy Policy
.What this covers. This policy is about the information Grit Blend Zone keeps on the people who train at 10-30 Egasakicho in Tsurumi Ward, Yokohama, and on anyone who writes to us through this site. Laura Ashworth runs the gym and is the person responsible for personal information under Japan's Act on the Protection of Personal Information.
.What we record at the front desk. When you drop in or join, the desk takes your name, a phone number, an emergency contact and a short health questionnaire that asks about injuries, heart conditions and pregnancy. Members also give a home address and a date of birth for the membership agreement. We record which classes you attend so that coaches know who is new to a movement and so that packs are counted down correctly.
.Payments.Card payments are processed by an outside payment provider. The gym never sees your full card number; our system shows the last four digits and the transaction date. Cash payments for drop-ins are recorded on a paper receipt book kept at the desk.
.Health questionnaire. The questionnaire is sensitive information under APPI. It is read by the coach running your first session, kept in a locked drawer, and never copied into the booking system. If you tell us later that something has changed, the old sheet is replaced rather than annotated.
.Photos and video in the gym.Coaches sometimes film a lift to show you your own bar path. That clip is deleted after it has been shown to you unless you ask to keep it. Nothing filmed in the gym is posted online without a written yes from everyone visible in the frame.
.Who else sees your data. Our accountant sees invoice records at year end. The payment provider sees what is needed to take your card. If someone is injured in the gym, the incident report and the relevant questionnaire may be shown to our insurer. Nobody receives your details for marketing, and we do not sell or swap lists.
.How long we keep it.Membership agreements and payment records are kept for five years after you leave, because tax law requires it. The health questionnaire is shredded within a month of your membership ending. Incident reports are kept for ten years. Emails are deleted once the matter they concern is finished, unless they belong to one of the records above.
.What you can ask.You may ask to see what we hold about you, to have it corrected, to stop us using it, or to have it deleted. Email hello@gritblendzone.com or ask at the desk; we will answer within two weeks and will check who you are before handing anything over. Where the law makes us keep a record, we will tell you which one and until when.
.Keeping it safe. The booking system is password-protected and only Laura and the desk staff can sign in. Paper records stay in a locked drawer in the office, not on the desk. Old records are shredded, not thrown away.
.Under-eighteens.Members under eighteen need a parent or guardian to sign the membership agreement, and the questionnaire is completed together with them.
.Changes.If we change how we handle information, this page is updated and the date at the bottom moves. Current members are told by email or by a notice at the desk.
